Paying your employees electronically

To save you time when paying your employees, you can take advantage of the e-Banking option within your software to create a bank transfer file. This file contains your employee’s bank account details and the monies to be paid into these accounts. You can then upload this file to your bank either over the Internet or using your banking software.

By using this option, you can make payments directly to your employee’s bank accounts from your computer, without the restriction of normal bank opening hours.

There are two e-Banking options available in Payroll – SEPA and Paypath.

To set up your employees for electronic payments

  • 1. Select the Employees tab.
  • 2. Select an employee who wants to be paid by bank transfer.
  • 3. Click Edit.
  • 4. Employment Details > Payment Method > select Bank Transfer.
  • 5. Enter the employee’s bank details.

If you’re using SEPA, you must enter the employee’s bank account name, IBAN and BIC. If you’re using Paypath, you must enter the employee’s bank account name, bank account number and sort code.

  • 6. Click Save.
  • 7. Repeat steps 2 to 6 for all employees who want to be paid by bank transfer.

To produce a SEPA bank transfer file

  • 1. Pay Runs tab > click the required pay run.
  • 2. Within the Completed Pay Run window, click Create SEPA.
  • 3. Bank Details > complete the following information:
Bank A/C Name Enter your company’s bank account name.

This should be the account that you want to pay your employees from.
BIC Enter your company’s bank identifier code (BIC).

If you’re unsure of what to enter, please contact your bank representative.
IBAN Enter your company’s international bank account number (IBAN).

If you’re unsure of what to enter, please contact your bank representative.
Bank Reference/OIN Enter your company’s bank reference or originator identifier number (OIN).

If you’re unsure of what to enter, please contact your bank representative.
Bank Processing Date The date on which the money should leave your company’s account to pay the employees.
  • 4. Click Next.
  • 5. Check the number of employees and the total pay values are correct.
  • 6. To view a detailed breakdown of where these values came from > open the detailed report.
  • 7. Click Next.
  • 8. Click Download.

Depending on your Internet browser, the file automatically downloads to your Downloads folder or you’re prompted to save the file. Browse to where you want to save the file.

  • 9. Click Finished.

You’ve successfully produced the SEPA bank transfer file. You can now upload this file to your bank either over the Internet or using your banking software.

To produce a Paypath bank transfer file

  • 1. Pay Runs tab > click the required pay run.
  • 2. Within the Completed Pay Run window, click Create Paypath.
  • 3. Bank Details > complete the following information:
Bank A/C Name Enter your company’s bank account name.

This should be the account that you want to pay your employees from.
Account Number Enter your company’s bank account number.
Sort Code Enter your company’s bank sort code.
Paypath owner ID Enter the unique six digit reference number.

This number is provided by your bank. If you’re unsure of what to enter, please contact your bank representative.
Volume Serial Number Enter the unique serial number for this particular Paypath file.

This number is provided by your bank. If you’re unsure of what to enter, please contact your bank representative.
Reference Enter some descriptive text to help your employees identify the payment when it appears on their bank statement.
Pay Date Enter the date on which the money should leave your company’s account to pay your employees.
  • 4. Click Next.
  • 5. Check the number of employees and the total pay values are correct.
  • 6. To view a detailed breakdown of where these values came from > open the detailed report.
  • 7. Click Next.
  • 8. Click Download.
