Edit or delete a sales invoice

How you edit or void a sales invoice depends on whether you have marked it as paid (completely or partially), either with a customer receipt or credit note.

You can check invoice status on the Sales Invoices tab in the Status column. To check whether you marked it as paid with a receipt or credit note, click the invoice, then click the amount paid.

Edit or void an outstanding sales invoice

You can edit an outstanding invoice. You cannot delete the invoice, but you can mark it as void. This removes the values from your accounts, but the invoice remains on your list so you can view it if you need to. This also ensures the invoice numbers remain sequential.

To edit the invoice, go to Sales Invoices, click the required invoice, make the changes as required, and click Save.

To void the invoice:

  1. Go to Sales and select the check box next to the relevant invoice.
  2. On the action toolbar, click Delete.
  3. Enter a reason, and then click Yes.

Edit or void an invoice paid with a credit note

You cannot edit or delete a credit note. If you entered an invoice in error, the credit note cancels out the invoice. If the credit note covers only part of the invoice, you should credit the remaining amount as normal. If you need to, you can then enter a new invoice with the right details.

Edit or void a sales invoice paid with a receipt

If you have not bank reconciled the receipt, you can delete the receipt and then edit or void the invoice. Voiding the invoice removes the values from your accounts but the invoice remains on your list so you can view it if you need to. This also ensures the invoice numbers remain sequential.

If you have included the receipt in a bank reconciliation, you cannot delete it. To check this, go to Banking and click the relevant bank account.

  • If the receipt has been reconciled, a check mark appears in the Reconciled column.
  • If the receipt has been processed using Bank Feeds, a check mark appears in the Cleared column.

To correct your accounts in this case, you can create a money out transaction for the same values as the receipt. This corrects your accounts and removes the money from your bank account. Before you can do this, you need to make sure the sales category you used on the invoice is available for recording money out.
